Image Station is a professional distributorship with over 30 years of experience in meeting the needs of our customers. We offer an all encompassing line of products and services to include forms, envelopes, computer supplies, office supplies, full service printing, graphic design, laser toner and service contracts, promotional products, signage, copying/color copying, direct mail and document management. Docustation is a program in which Image Station acts as the purchasing agent for your organization. Docustation creates a partnership that guarantees you savings on your total purchases throughout the year. 

Image Station will purchase, warehouse and distribute all of your supplies. Each month you will receive an itemized invoice(s) of all purchases. Additionally, you will receive detailed reports to assist in the management of your inventoried supplies.

Increased Profitability

Accountability Docustation offers a wide variety of ways to control your supply costs. As with any cost containment program, the first step in controlling your costs is knowing where monies are being spent. Through the use of our custom computerized inventory control and distribution system we provide you with various reports to accurately track your expenses to profit centers, multi-site locations and/or departments within your organization.

Decreased Inventory Costs Studies have shown that the realized cost of maintaining an in-house inventory of supplies equates to adding an additional 33% to the purchase price of a product. Docustation will eliminate your need to inventory stock items (i.e. toner, ribbons, office supplies, etc.). Therefore, your valuable dollars will not be tied up in related inventory costs.

Other companies that offer similar services require you to bulk purchase and pay for inventoried products up front. These companies will then distribute your inventoried products to you on an as required basis. However, your valuable dollars have been used to establish your off-site inventory at their warehouse. 

Increased Purchasing Power Image Station is a long standing distributor of forms, supplies, etc. Stock items (i.e. toner, ribbons, etc.) are purchased in bulk (similar to Sam's Club concept) allowing us to pass savings to you. These items will only appear on your monthly invoice upon shipment. Therefore, there is no need for your company to pay for inventoried products until they are needed.

Similar sized custom printed jobs for all of our customers are ordered in combination to reduce overall setup and printing costs. Items which are unique to your organization will appear on your monthly invoice upon receipt of the products into our warehouse. 

Inventory Management Reporting

Product Inventory Lists Each profit center will be supplied with Product Inventory Lists listing all available products by product item number. This report will be used in conjunction with Fax/E-mail Order Forms to identify product numbers when making purchase requisitions.

Inventory Value Report Each month or upon request you will receive an Inventory Value Report. The report lists all products in inventory by item number and description. It shows the quantity and dollar value of each product in inventory. A total inventory value is supplied which is a sum total of the individual product values.

Sales Analysis by Profit Center Reports Each month you will receive Sales Analysis by Profit Center Reports for each of your profit centers. The reports will show, in detail, the quantity and dollar value of all products received during the month. A total dollar value is supplied which is the sum total of the individual product values received. 

Invoicing Invoicing can be prepared to your specifications. The most common methods are as follows:

• Once per month • Twice per month • Upon receipt of inventory at our warehouse 

• Upon receipt of inventory at your facility(s) • A combination of these methods

Recommended Reorder and Low Stock Notice Each product in your inventory is assigned a low stock reorder point. A Low Stock Notice is issued when a particular product reaches or falls below the reorder quantity. A recommended reorder quantity is supplied in conjunction with the Low Stock Notice.

Fax/E-mail Order Forms Each profit center will be supplied with Fax/E-mail Order Forms. These forms allow you to quickly order products. Product reorders are only processed if the appropriate authorization is received.

Delivery Receipts All products are delivered to profit centers with itemized Delivery Receipts. Items received should be compared to both Delivery Receipts and Fax/E-mail Order Forms to guarantee the order has been processed accurately.

Profit Center Support

Docustation allows you to utilize Sales Analysis by Profit Center Reports to efficiently and effectively control your supply costs for profit centers, multi-site locations and/or departments within your organization. Through regular monitoring of Sales Analysis by Profit Center Reports excessive usage and/or waste can be controlled.

Products can be ordered quickly with our Fax/E-Mail Order Forms. Authorized Fax/E-mail Order Forms will enable your orders to be processed quickly eliminating the occurrence of out-of-stock items. Approved orders received by 2:00 PM of your selected order day are delivered within three business days. You will receive two monthly shipments to all of your profit centers. Out-of-stock items will be a thing of the past.

Security

Disaster Recovery Image Station is Hurricane Proven. Ask around how Image Station South Florida Division never missed a beat after Andrew. It was business as usual. As a distributorship, Image Station has the ability to purchase products from a wide variety of manufacturers. We do not have to rely on our own production facility. The same item can be purchased from one of many reputable companies we represent. If quality, production time, and/or product cost are unacceptable, Image Station has the ability to shop around to meet your specific requirements.

Insurance All products inventoried by Image Station are fully insured. Upon your request, your total inventory value can be determined quickly through our computerized inventory control and distribution system. This information can be made available to both your audit department and insurance company for proper safeguarding of your assets.

Warehouse/Distribution

Order Processing All approved orders received by 2:00 PM of your selected order day are delivered within three business days. You will receive two monthly shipments to all of your profit centers. Products are packaged and appropriately marked for ease of identification. All orders are verified for accuracy prior to shipment. Monthly distribution reports from our computerized inventory control and distribution system will provide you with an accurate report of your supply costs.

Receiving Orders received are counted and verified within 24 hours of their receipt. All items are stored in pre-assigned locations for efficient and effective retrieval. 

Inventory Control All inventoried items are warehoused by product item number for ease of identification and to facilitate the distribution process. A physical inventory is taken periodically to compare your actual inventory to our computerized inventory control and distribution system. If variances are found, they will be researched, you will be notified of the discrepancy and the appropriate adjustment will be made. At any time you are welcome to perform your own physical inventory at our warehouse.

Warehousing For $250 per month, Image Station provides total inventory control. We will purchase, warehouse, and distribute our stock items and your custom items on an as needed basis. 

Courier Service Docustation provides courier service to all of your profit centers, multi-site locations and/or departments within your organization. 

A flat monthly fee will be negotiated prior to commencement of services. The fee will be based on number of locations and distance between the locations to be serviced. The fee will be adjusted if the locations to be serviced are added or deleted.
